Administrator Apprentice

Overview:
The apprentice will provide comprehensive data and administrative support to the multidisciplinary team, ensuring efficient patient information and appointment systems management.

This role focuses on accurate data entry, processing, and communication to support clinical operations and patient care. Duties include managing patient records, coordinating information flow, and facilitating effective interaction between patients, staff, and external organizations.

Key Responsibilities
The following are the primary responsibilities of the role. Additional tasks may be required depending on workload and staffing levels:

Core Administration Responsibilities:

  • Manage and monitor the practice’s appointment and scheduling systems with precision.
  • Accurately process personal, telephone, and electronic appointment requests.
  • Input and maintain accurate patient data in clinical IT systems, ensuring information integrity.
  • Code and update patient records, ensuring compliance with clinical and administrative guidelines.
  • Carry out data searches and generate reports as requested to support team operations and decision-making.
  • Oversee data entry for new and temporary registrations, ensuring all patient records are up to date.
  • Handle requests for patient information (e.g., Subject Access Requests, insurance/solicitor forms, DVLA forms) efficiently and in compliance with data protection regulations.

Administrative and Communication Support: 

  • Act as the central point of contact for patients, distributing messages and managing enquiries for the clinical team.

Skills and attributes required: 

  • Proficiency in data entry and management systems, with a strong attention to detail.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills, both written and verbal, to liaise effectively with patients and team members.
  • Familiarity with clinical IT systems and data protection regulations is an advantage.

Entry requirements:

  • 3 GCSE's (or equivalent) at grades 4+ (A-C) in any subject
  • GCSE Maths and English (or equivalents) at grades 3+ (D or above)
  • Prospective apprentices must not hold an existing qualification at the same or higher level as this apprenticeship is in a similar subject

You may also have a combination of qualifications and experience which demonstrate the minimum foundation needed for the programme. In this instance you could still be considered for the programme.

If you hold international equivalents of the above qualifications, at the time of your application you must be able to provide an official document that states how your international qualifications compare to the UK qualifications. 

Salary: 
£14,000 - £16,000 per annum -- can vary, depending on experience. 
Overtime is available, so you can add extra money to your salary.
