The Events Assistant Apprentice will work at the Hartree Centre in Daresbury Laboratory. The Hartree Centre is part of The Science and Technology Facilities Council and focuses on high-performance computing, data analytics and artificial intelligence technologies.   

The apprentice will support the Events team by coordinating customer engagement activities both on and off-site. They will work closely with the Event Manager as a member of the Business & Stakeholder Engagement team and will be trained in using our event management procedures, digital platforms, policies and standard methodologies to help with daily event bookings, material arrangements and event management services. The responsibilities will include welcoming visitors, arranging catering, and crafting memorable events.

About the role and a summary of key duties & responsibilities

  • Assist the Business & Stakeholder Engagement team in the delivery of engaging and professional business and stakeholder engagement events, under the supervision of the Event Manager
  • Maintain efficient event scheduling and room facility management processes  
  • Collaborate with other STFC staff, industry and public sector partners to enable efficient working  
  • Deliver a high standard of customer service to event stakeholders and attendees
  • Attend regular team catch-ups and relevant project-related meetings to build knowledge about the Hartree Centre’s programmes and activities  
  • Identify and solve small-scale event coordination challenges and escalate larger challenges to the Event Manager or wider team
  • Provide event administration support for national and international offsite events such as exhibitions, meetings and conferences 
  • Manage the inventory of event materials such as performing quality checks, arranging shipping, reordering of consumables, printing etc.
  • Build and maintain event registration webpages while collaborating with communications colleagues to ensure adherence to brand guidelines 

Alongside this, you will undertake professional development and training through monthly interactive tutor-led seminars supplemented with online learning tools and self-study materials completing Level 3 Events Assistant Apprenticeship with The JGA Group.  

The programme is 15 months long with the first 12 months known as the “training phase”, the learning stage of the programme.  Topics covered by the programme include:

  • Support for event planners and project managers
  • Researching venues and locations 
  • Planning and scheduling
  • Branding events
  • Working with suppliers 


 
At the end of your apprenticeship, you will undertake an End Point Assessment whereby you will complete a work-based project or practical case study that contains real activities done in the role. Following this, you will undertake a professional discussion with an independent assessor, supported by a portfolio of evidence generated throughout your apprenticeship. 
Upon successful completion, you will achieve a Level 3 Event Assistant Apprenticeship standard.

Essential

  • Achieved or predicted to achieve passes at Grade C/4 or above including Maths & English (S)
  • A curiosity about event management, project management or customer engagement (S&I) 
  • Team player with the ability to build positive working relationships with people from different backgrounds in industry, the public sector and academia (S&I)
  • Excellent time management and organisation skills and ability to prioritise own workload, stay calm under pressure and meet deadlines (S&I)
  • Ability to identify and solve problems independently and escalate larger challenges to the relevant team or manager (S&I)
  • Ability to learn and adhere to provided guidance and policies to maintain efficient event management processes (S&I)   

Desirable

  • Digital literacy and basic knowledge and awareness of digital communication platforms such as Microsoft Office, Canva, Eventbrite and social media (S&I)
  • Confidence while communicating both face to face and on the phone (S&I)

1. To complete the apprenticeship, you will need to evidence passes at 9-4 or A*-C in GCSE (or equivalent) Maths and English. For those sitting their GSCEs in Summer 2025, we would need evidence of your predicted grades.
